Dear Exhibitor:
You are cordially
invited to exhibit at the 2010 Kansas Library Conference. This
year’s conference will be held on April 7 – April 9, 2010 in Wichita,
Kansas at Century II Convention Center and the Hyatt Regency Wichita.
Exhibits will be open on Wednesday, April 7th and Thursday,
April 8th only, with Friday, April 9th reserved
for meetings. We are expecting approximately 600 librarians from
ALL TYPES of libraries across Kansas.
This year we will have
two different price points for vendors. The cost per booth for
non-profits will be $250.00.
After February 15, 2010, the cost will increase to $300.00.
The
cost per booth for for-profit companies will by $425.00. After
February 15, 2010, the cost will increase to $475.00.
The conference program
is being arranged to provide blocks of time with nothing scheduled
EXCEPT exhibits - NO CONFLICT TIME! There will be two blocks of
unscheduled time on Thursday as well as the exhibit opening on Wednesday
evening. Approximately 30% of the exhibit hours will be NO
CONFLICT TIME.
Please complete this
contract as soon as possible. Spaces will be assigned on a basis
of date contract is received and past participation in our conference.
To be considered valid, contracts must be submitted with AT LEAST HALF
the exhibit fee. To guarantee inclusion in the conference program,
contracts must be received by February 15, 2010. After that date
we cannot guarantee that your company name will appear in the program.

POLICIES
-
Be sure your
exhibit is set up WITHIN the confines of your booth space, as
indicated by the draperies outlining your booth.

Your booth will
be 10’ wide by 10’ deep and will be equipped with drapery
background and side dividers, a sign indicating company name
(limited to 24 capital letters and/or spaces), one 8’
draped table, 2 side chairs and a wastebasket. Cost per
booth will be $425.00 ($250 for non-profits) if reservation is
received on or before February 15, 2010. After that date,
cost will be $475.00 ($300 for non-profits) per booth.

If your exhibit
requires electricity, telephone and/or internet service, please
mark these spaces on the contract and complete the utilities
form. Return this form to Century II, at the
address indicated, along with your payment for utilities.
All electricity, telephone, and internet service is handled by
Century II.

No tape,
staples, tacks, nails, etc. may be attached to the walls or
floors of Century II.

Exhibit hours
will be: Wednesday, April 7, 2010 - 5:00 p.m. to 7:00 p.m.
Thursday, April 8, 2010 - 8:00 a.m. to 5:00 p.m.

Over-night
security service will be provided in the exhibit hall.

If for any
reason it should be necessary for you to cancel your exhibit,
there will be a $50.00 per booth cancellation fee prior to March
1, 2010. NO REFUNDS can be made after that date.
Notices of cancellation must be sent to Denise Smith, Exhibits
Coordinator.

- In order for the contract to be
considered valid, it must be accompanied by AT LEAST one-half the
exhibit fee of $425.00 per booth ($475.00 after February 15, 2010).
All monies are due
by March 20, 2009 unless previous arrangements have been made.
- If you wish to make a payment
by credit card, please fill out and submit the
credit card charge form. If paying by check then please make booth checks payable to
KANSAS LIBRARY CONFERENCE 2010, and mail to Denise Smith at the
above address. Make utilities checks payable to CENTURY II and
send directly to them along with utility form.
- Include a
copy
of any utility contract
with your booth contract.
- Be sure to indicate the
categories you wish to be listed under in the program.

SPACES FOR BOOTH SIGNS.
(We cannot make an exception in this matter.)
